Privacy Policy

This draft privacy policy explains the basic data practices expected for the FleetFSM MVP.

Data we collect

The MVP may collect account data, profile details, order information, bids, messages, uploaded file metadata, verification data, reviews, and basic technical logs needed to operate and secure the platform.

How data is used

Data is used to create accounts, show relevant marketplace information, manage orders and bids, support provider verification, enable messaging, moderate abuse, troubleshoot errors, and improve marketplace safety.

Marketplace visibility

Some information may be visible to other users depending on role and order state. Public order listings are intended to show limited marketplace-level details, while private customer and order details should only be available when access rules allow it.

Files and verification documents

Uploaded files and verification documents are intended to remain private and accessible only to authorized users or administrators. File uploads may be checked for size, type, and safety before use.

Chats on an order

The chat on an order is visible to the people taking part in it, and to a platform administrator — solely to settle disputes and to act on reports. We do not read conversations out of curiosity and we do not use them for advertising. When an administrator writes in a chat, the message is signed “Support” and both sides of that conversation are notified. Messages are kept for as long as the order itself, and are removed with the account (see below). Note that deleting your own message hides it from the conversation but does not erase the record of it — otherwise a dispute about what was said could never be settled. Reporting a message passes its text to an administrator.

Taking your data with you

From the Your data page you can, at any time, download an archive of everything we hold about you: profile, orders, offers, messages, reviews, and every file you uploaded. A company admin can do the same for the company. The download link is valid for 7 days.

Technical installation catalogue

Anonymised data about completed installations is used for the platform's internal technical catalogue: the make, model, year and engine type of the vehicle, the equipment fitted, photographs of the installation work, and the engineer's notes on how it was done. The catalogue never contains the number plate, the VIN, device serial numbers, precise coordinates, the customer's signature, or anything identifying the customer, the company or the engineer — the data is anonymised as it is written, not as it is shown. The purpose is to build up industry knowledge of how telematics is fitted to particular vehicles.

Retention and deletion

You can delete your account from the same Your data page. Deletion is not immediate: for 30 days nothing happens and you can call it off by signing in. After that everything personal is erased for good — email, name, contacts, location, uploaded photos and identity documents. Orders, offers, messages, reviews and invoices remain, signed “Deleted user”: they are also the record of the people you dealt with, and accounting records must be kept by law. A company admin can delete the company, which erases its clients, vehicles, orders, work reports and files; employees keep their own accounts.
